English User Guide for Employee(英語版 操作マニュアル)
Overview
This page explains how to user HERP Hire as a Guest member in English Please note that the English version is currently available on some screens only. Please refer to Language Settings(言語を英語に設定する) for screens that are supported in English.
Initial settings
Sign in
Sign in with Slack
If you have a slack account, please click "Sign in with Slack" to login. *If "Sign in with Slack" does not appear , your HERP administrator needs to enable the "Sign in with Slack" setting. * The link leads to a page in Japanese. Please use a translation tool to check. Please contact your company's HERP administrator to request this.
Sign in with your Email address
You will recieve an invitation to HERP Hire via email.
Click the 'Account Creation URL' in the invitation email sent to create your account.
Enter the email address and password you created and click 'Login'.
If you have forgotten your password, please click 'Forgot your password' to reset your password.
If you have forgotten your registered email address, please ask a member of your company's recruitment team
(Administrator, Recruiter or Assistant) to confirm the email address for your account by going to 'General Account Settings' > 'Member Management'.
Change language setting to English
- Open Account and overall settings by clicking the icon in the top right corner.
- Click ”アカウント情報”
- Change the Language from"日本語" to "English."
Connect with Google Calendar.
How to link your Google calender account to set up interview schedules.
- click on Google Calendar under 'External Service Accounts' on the admin page.
- click on the '...' icon on the right-hand side and click on 'Link to...'
- the Google Login is displayed and you select the Google account you wish to link.
- when the Google account access permission screen is displayed, check the 'View and edit all calendar appointments' check box and select 'Continue' to complete.
- (optional)You can change the time slot for the scheduled appointment.
Click "Account Information">"Available time for schedule adjustment" >"Change", and select your available time slot. (The default setting is 8:00-22:00).
Changing notification settings
Click and open the 'notification settings' section of the administration to change the on/off status of 'Slack notification' and 'Email notification'.
Connect with Zoom
- click on Zoom in the 'External Service Accounts' section of the admin page.
- from the list of Zoom users, click 'Connect with new account' and connect your Zoom user .

How to view screen: Application List
You can check the list of applicants by clicking on "Applications" in the upper left corner of the screen. If you are a guest member, only the applications you are assigned to will be displayed.
Search candidates
To search candidates using specific criteria, click 'Search criteria' in the list of applications.

How to view screens: Applicant Details
Click the name of the Applicant to check Applicants' profile and detailed information. Click the tabs bellow to check further information.
- Overview:Applicants' profile
- Files:Uploded fiels such as resumes
- Timeline:Past history and internal communication
- Evaluations:Interview results and evaluations
- Private:Private internal communication. It will show up when you are invited to the chat
- Applicant email:Email records with the candidate
Check notifications from HERP Hire
Notifications can be sent via Slack or email when you are assigned to a candidate, a request or message is sent to you.
- Click on the link in the Slack channel notification, Chatwork notification or email notification you receive when an application is posted.
- check application details
If you wish to change your notification settings, please see Change notification settings. * The link leads to a page in Japanese. Please use a translation tool to check.
Check the candidates information from Overview, Files, etc.,
You can check the candidate's entire history and internal communications in the timeline.
Types of Notification
- When you are assigned to the 'Member in Charge'
- When you are assigned an interview
- When you receive a evaluation request
- When you receive a message through timeline
Activities
All evaluations addressed to you and communications related to candidates you're involved with are consolidated in the "Activities."
Check Activities
- Click on 'Activities' in the top menu to open the Activities list page.
- Click on the activities you want to review and you will be taken to the application details page associated with the activities.
- When the item has been addressed, the display disappears from the list.
Each Activities can be filtered to narrow down the display.
Available information in Activities
Pending evaluations
The list shows the evaluation requests that are waiting to be completed.
The display can be narrowed down using the following filters.
All
: all evaluation requests in the tenant that are waiting to be filled in.Only applications for which you are an Operator
': Evaluation requests waiting to be filled in for applications for which you are an Operator.Requested evaluations
: Assessment requests that are waiting for you to complete.
* Scheduled evaluation requests will appear in the Pending Evaluations list after the scheduled start time.
* Evaluation requests associated with applications that have completed the selection process will not be displayed.
Complete the evaluation and click 'Submit Evaluation' to complete the evaluation and remove it from the list.
Upcoming schedules
The Upcoming schedules associated with Applications that have not been terminated of assessment and for which you have permission to view the Application details are displayed in the list. After the Assessment end date and time, the schedules will disappear from the list.
The following filters can be used to narrow down the list.
All
:Upcoming schedules tied to all selected Applications in the tenant.Only applications for which you are operator
:Upcoming schedules linked to the Applications to which you are assigned as Operators.Only your schedules
:Upcoming schedules that you have been assigned to a participant.
Mentioned comments
Mentioned comments addressed to you will appear in the list. Comments are listed in order of the date and time they were posted.
When you finish selecting the applications associated with the mentioned comments, they disappear from the list.
The following filters can be used to refine the display.
All
:All Timeline comments that you have Mentions and Private comments that you have Mentions.Timeline comments
:Timeline comments that you have MentionsPrivate comments
:Private comments that you have Mentions
For tenants with プライベートコメント通知先変更+メンション機能の利用をする【slack連携企業のみ】 enabled, private comments are also displayed in this list.
Evaluate Candidates
Submit an evaluation
- Click on the link in the Slack or email notification you receive when a review is requested, or on the text link at the top of the application details page, or on the 'Fill in the evaluation' tab.
- Enter an evaluation and click 'submit an evaluation'. The offer can be viewed at the top of the entry screen.
- When you submit an evaluation, the timeline also shows the user who submitted the evaluation, the date and time of the submission and the content of the evaluation. Clicking 'Show Responses' will display the evaluation, and pressing the link will open the evaluation tab.
Edit an evaluation
There are two ways to edit from the Evaluations tab and from the Contacts tab.
How to edit from the Evaluations tab
- Click 'Edit the evaluation' of the evaluation you want to edit on the 'Evaluation' tab in Application details.
- Enter your evaluation and click 'Save'.
When the evaluation has been edited, the comment will be marked (edited)
at the end of the comment.
How to edit evaluation from the Contact tab
- From the 'Contact' tab in the application details, hover over the evaluation you have entered as an evaluator and click 'Edit'.
- Edit and click 'Save'.
When the evaluation has been edited, the comment is marked (edited)
at the end of the comment.
Delete an evaluation
Once an evaluation has been deleted, it cannot be undone.
- in the 'Evaluations' tab in Application details, click on the bin icon of the evaluation that has been posted. * Unposted evaluations cannot be deleted.
- Click OK to complete the deletion when confirmation is displayed.
Timeline
Timeline is where you can have internal discussions about the candidates with your team members.
How to communicate with team members through Timeline
1. Click the Timeline tab in the application details
2. click "@" to select a member you want to send a message to.
3. Enter a comment and click Send .
* You can send a comment using the ⌘+Enter key combination for Mac OS and the Ctrl+Enter key combination for Windows OS.
Comments can be edited after submission.
Inserting templates into timeline comments
- Click on 'Insert a template'.
- Select Templates and click 'Insert'.
Delete timeline comments
- Administrator can delete all Comments.
- Recruiter, Assistant and Guest can delete their own posts.
- Click 'Delete' on the timeline comment you want to delete.
- When confirmation is displayed, delete the comment by clicking 'Delete'.
- The text of notifications that have already been sent will not be deleted.
Submit a Comment from Slack to Timeline
- Click 'CommentSubmit' at the bottom of notifications to the Slack channel and DMs from the HERP application.
- Enter the Mentions recipient and the comment you want to post. The user who posted the comment on HERP Hire will be set as the Mention recipient; if you do not want them to be Mentioned, you can deselect them.
- Click the 'Submit' button.
- Comments you make will be posted on the HERP Hire timeline and notified in Slack.
- The ability to post a comment is only available if the member has Slack integration.
- It is not possible to comment on applications that you do not have read access to on HERP Hire.
- It is not possible to post comments from private or HERP Nurture notifications.
Edit timeline comments
- In the Timeline tab of the application details, click Edit on the comment you want to edit.
- Edit Comment and click 'Send'.
When a comment has been edited, it is marked (edited)
at the end of the comment.
Applicant emails
Send an applicant email
Create an email by entering the subject and body from the Applicant Emails tab in the Application Details. By entering the email address in the Cc text box, emails addressed to the candidate can also be sent to the Cc recipient.
This can be useful if you want to include the address of your own recruitment mailing list in the Cc and also keep the email correspondence on your own mailing list, or if an agent company asks you to include the agent's address in the Cc and exchange emails directly with the candidate.
Click on 'Send' to send the created email.
When the transmission is complete, the sent email is displayed at the bottom of the page.
- You can send up to 4,000 characters in the body of the email.
- The source email address is (random string of numbers) @candidacy.herp.cloud and the sender name is the company name.
- If the message is saved on HERP Hire, the email has been sent correctly. If you have not received the email, please check the recipient's email settings.
- You can manage whether or not you need to reply to emails you receive. For information on how to do this, see Manage whether or not you need to reply to job application emails. * The link leads to a page in Japanese. Please use a translation tool to check.
- If you receive a reply from a candidate to an email that you sent with a Cc, when you click the "Reply" button for that email, the email address that you specified as the Cc will be entered as the default in the Cc field of any new candidate emails that you create. The email address you specify as the Cc will be the default in the Cc field of any new candidate emails you create.
Attach files to Applicant emails
If you are composing an email from the 'Applicant Emails' tab in the application details, click 'Attach Files' and select the attached files.
- If the requester attaches files to a message, the company can view and download the files if they have Assistant or higher permissions.
- The maximum size of files that can be sent and received is 7MB.
Inserting templates into applicant email
- Click 'Insert a template' on the 'Applicant emails' tab in the application details.
- When the Templates selection screen appears, select Templates. New templates can be added from 'Create Templates'.
- After selecting templates, click 'Insert' and the templates will be inserted into the subject line and body of the email.
Manage whether candidate emails require a response or not
You can use the 'reply required' and 'reply not required' toggles to manage whether you need to reply to candidate emails. The toggle is toggled automatically when you receive or send emails, or can be toggled manually.
If you select 'Reply required', you can see a list of the most recently received emails from the email icon in the top right corner of the screen.
- Click on the 'Reply required' or 'No reply required' toggle to switch between the two.
- When an email is received > Switches to 'Reply required'.
- When an email is sent > Switches to 'No reply required'.
The toggle also switches automatically at the following times.
Booking Send candidate emails
It summarises how to book an email transmission within the next 72 hours from the site to applicant.
Booking Send candidate emails
- From the 'Applicant emails' tab in Application details, enter the subject and text and click the '▼' button to the right of the 'Send' button.
- Select 'Send at 9am tomorrow' or 'Send at a specific date and time' to schedule your email.
- If you select 'Schedule email to be sent at 9am next
- The email will be sent at the next 9am Japan time.
- If you select 'Schedule email to be sent at a specified date and time'.
- Specify either 00 minutes or 30 minutes for the date/time to be sent within 72 hours from the time of operation.
- The e-mail will be sent at the specified time.
Booking Send candidate Check the schedule and content of the emails being sent
Schedule Applicant Emails The emails that will be sent are displayed in the Applicant Emails tab, along with the time they are scheduled to be sent.
Cancel Schedule applicant email sending before sending
- Schedule Applicant Email Hover over the email to be sent and the 'Delete' icon will appear.
- Click the 'Delete' icon to cancel the appointment.
- Additional information.
- The 'Delete' operation in Schedule Applicant Email Sending requires Assistant or higher authorisation.
- Unfortunately, we can't cancel an email that has already been sent.
Account
Edit account information
You can change your name, email address, password, avatar image and the times you can adjust your schedule.
Change account name
- In Administration (Account and General Settings), click Account Information and in Name, click 'Change'.
- Enter the name you want to change and click 'Save changes'.
Change the email address on your account
- Enter the name you want to change and click 'Save changes'.
- Enter your new email address. Click 'Send confirmation email'.
- check that the 'Confirmation Email' has been sent to your pre-change email address.
- If you do not receive the 'Confirmation Email' at your previous email address, click 'Resend Confirmation Email' to resend the 'Confirmation Email'.
- If the new email address you have set up is incorrect, or if you want to set up a different email address, click 'Re-enter Email Address' and enter your email address again.
- If you want to cancel the email address change in the middle, click 'Cancel'.
- Click the 'Authentication URL' in the body of the 'Confirmation Email' that was sent to the email address before the change.
- You will receive a 'confirmation email' to your new email address, click on the 'Authentication URL' in the body of the email.
- This completes the email address change. Click 'Return to Account Information screen' to exit.
※ You can also stop changing your email address in the middle of a change by clicking 'Cancel Changes', even from the Account Information screen.
Change password
- in the Administration (Account and General Settings), click Account Information and then click 'Change' in the Password field.
- enter the new password and click 'Change password'.Enter your current password, enter your new password twice, including for confirmation, and then click 'Change password'.
You can easily increase the strength by combining different characters, such as upper and lower case letters, numbers and symbols. Passwords with a strength of not less than 'medium' cannot be set.
Reset your password
If you have forgotten your password, here are the instructions on how to reset your password.
- if you forgot your password when you confirmed your password, click 'Forgot your password?'
- to send an email to reset your password, enter your email address and click 'Send reset email'. When the reset email is sent, the transmission completion screen will be displayed. If you do not receive an email, click 'here' and enter your Email address again.
- Click on the 'Password reset URL' in the confirmation email sent to the email address you have set.
- enter your new password and click 'Set new password'.
Enter the new password twice, including for confirmation, and click 'Set new password' to complete the password change.
You can easily increase the strength by combining different characters, such as upper and lower case letters, numbers and symbols. Passwords with a strength of not less than 'medium' cannot be set.
When you have completed the password resetting, the completion screen will be displayed. Return to the original screen and enter the newly set password to continue the operation.
External service accounts
Connect with Slack
This section summarises how to link your HERP account to your Slack account in your personal settings.
Introduction.
- A HERP account linked to a Slack account is used for login via Sign in with Slack and for Slacknotifications.
- It is possible to link multiple Slack accounts to one HERP account. The prerequisite is that the Administrator has connected the Slack workspace to the HERP via external account integration.
- There are two steps to link a Slack account to a HERP account.
- manually link your Slack account after logging in to HERP
- automatically link your Slack account to your HERP account when you log in to HERP via Sign in with Slack.This is an individual setting and each user will need to change their own settings.
Manually connect your Slack account after logging in to HERP.
- click on Slack in the 'External service accounts' section of the administration screen.
- in the workspace to which the account you want to log in belongs, click 'Link new account'.
- click 'Allow' for the authorisation request; if the link to the Slack account is successful, the 'Slack account settings' page appears.
Automatically connect to your Slack account when logging into HERP by Sign in with Slack.
- *The Administrator of the HERP must have enabled 'Sign in with Slack'.
The email address of the Slack account must match the email address of the HERP account to be connected in this way.
- on the HERP login screen, click 'Sign in with Slack' for the workspace to which the account you want to log in belongs.
- click 'Allow' for the authorisation request; if the link to the Slack account is successful, you will be logged in
Deactivate the Slack linkage
This section outlines how to change the Slack account settings in your personal settings.
- click Slack in the 'External service accounts' section of the Administration page.
- from the list of Slack accounts, click 'Edit' for the account you want to configure.
- click 'Cancel' in the 'Unlinked' section.
- when you click 'Cancel', If you cancel the integration with your Slack account, notifications to Slack and Sign in with Slack will no longer be available.' and a message will appear, click 'OK' and you are done.
Turn off Slack notifications
- click Slack under 'External service accounts' in the administration screen.
- from the list of Slack accounts, click 'Edit' for the account you want to set up.
- turn Slacknotification on/off for that account.If you turn it off, you will not receive any notifications for that Slack account.
Unlink your Zoom
- click on the icon in the top right corner of HERP Hire or HERP Nurture and click on 'Account and overall settings' .
- click on 'External service accounts' Zoom in Account and overall settings.
- click on 'Unlink' from the list of Zoom users to complete the unlinking process.
Sign out
- Click on 'HERP Hire' or the avatar icon in the top right hand corner of the administration screen and click 'Sign out'.
